IW BOOSTER CLUB MINUTES – March 12, 2014 Meeting

Members present included Anne Carney, Mike Carney, Matt Clark, Melody Clark, Stacy Connor, Brian Dukes, Jason Ahlden, Heather Frank, Jill Cultra and Jim Harkins.

MINUTES:   Members present reviewed the minutes from the February 2014 meeting.   Matt moved to approve the minutes. Melody seconded; all in favor.   Motion carried.

TREASURER’S REPORT:  Matt Clark presented the treasurer’s report.  Mike moved to approve; Melody seconded; all in favor.   Motion carried.

OLD BUSINESS

REITZ FAMILY DONATION:  Jason Ahlden, CCU (Concrete Construction Unlimited), presented information about tables and how they can be anchored, i.e. surface mounts or ground mounts.   Boosters discussed if there should be different concrete pads or one large pad for all four tables to be on.   Discussion transpired about rock vs. concrete.   Jason shared that another area school had their tables tip over when people sat on them in the spring when the ground was soft.   The tables need to be in place by the end of July.   Boosters will need to present to the board by May, preferably in April.   The placement of the tables must also be well thought out.   Matt moved that the Boosters will front up to $1,600 to put in the concrete pad with the expectation that those purchasing tables pay a part of the pad.   Jill seconded; all in favor.   Motion carried.  Jason, as a member of the youth football board, will discuss this with the youth football.    Melody will speak with Gloria.   Boosters will continue to review tables, sizes and colors.

COACHES APPRECIATION:  Invitations were sent out via email.   Anne will send a reminder.

NEW BUSINESS

UNIFORM DONATION:   It was brought to the Booster Club’s attention that the full donation toward uniforms has not been done recently.   The 2011-2012 school year was the last full uniform donation.  For the school year 2012-2013, the Booster Club paid about $4,000 through several direct purchases instead of one lump-sum donation.  Regarding the donation for the 2013-2014 school year, Matt moved to donate $4,000 as a uniform donation.   Melody seconded; motion carried.  Going forward, the donation will be done in July or August for that school (fiscal year).   Mr. Dukes will provide a summary at our June meeting so that the Booster Club may have documentation of the cost of the various uniforms.    Boosters will use this information to review the annual donation amount.    Boosters recognize the increasing costs of uniforms.   Anne will ask Mr. Ehmen for middle school information about uniforms.

APPAREL COMMITTEE:  Melody will chair the apparel committee.   Stacy, Matt and Anne will serve as committee members as well.

DONATIONS TO OTHER GROUPS AND ORGANIZATIONS:  A variety of groups and/or organizations have asked to use Booster equipment and supplies.   In the past, they had been asked to come to a meeting and ask, but sometimes the timing is such that it is not possible.   Recently there have been a number of requests, and some have given a donation while others were asked to give a specific amount.  Boosters discussed that we should be as consistent as possible.   When there is a request from an organization or group, questions should be directed to the President or the Treasurer.

SENIOR BANNERS:  A question was asked how the senior banner should be handled when an athlete quits during the season.   Boosters agreed to allow each coach to handle it individually.

COACHES ASSOCIATION AWARD AD:  Coach Arie has been awarded co-coach of the year.   Last year the Booster Club split the cost with the athletic department.   Matt moved to do the same this year; Mike seconded.   All in favor.   (Booster cost should be approximately $100.)

AD SALES STRUCTURE: The Ad Sales Committee determined all ad costs will remain the same for next year.   The 3-point club and touchdown club will be changed.   Registration packets will go out the second week of April.   The goal is to have the letters done by then.   Ads will be done with the football team.  Coach Waz is aware that football is next in line in the rotation.   Parents may choose an ad as well.   If there is a request to do an exchange of services, that business needs to communicate with the ad liaisons, currently Mike and Matt. The ad sales committee recommends getting away from exchange of services.

STRATEGIES FOR NEW MEMBERS:  This will be discussed next month.

ROUND TABLE:

Discussion about the football scoreboard.   Daktronics sales representative will meet with us and give suggestions.
